Finding your own mail should not be the slowest part of your day.

Most people do not lose their mail. They lose the time it takes to dig it out of five places that each answer a slightly different question.

Outlook searches the mailbox you are standing in. Four accounts means running the same search four times and merging the answers in your head.

Point it at your sources

Your mailboxes — personal, shared, archive — and the folders you want covered. SearchFlow reads them and builds its index on that machine.

A name, a price, half a file name, a word from an attachment. Results narrow with every keystroke, ranked across mail and files together.

Open it where it lives

Preview the hit, then open the mail in Outlook or the document in its own folder. Nothing is copied to a second location.

Both editions build and store the index on the machine itself. There is no central index server to buy, secure and back up, and no copy of your mail sitting with a cloud provider.

Fast because it is close. The index sits on the same disk as the work, so searching does not wait on a network or a service.
Nothing is uploaded. Mail bodies, attachments and file contents stay on the device they were already on.
Rights are respected. A workstation only indexes what that user is already allowed to open — SearchFlow does not widen anyone's access.
It keeps working offline. The index is on the machine, so a dropped connection does not take your search with it.

AI search — optional

Beyond keywords, SearchFlow can answer in language: "what did we agree with Peeters about the delivery date?" That step is optional and runs on credits, so it is switched on per user and stays visible in what you spend.

Keyword search is unlimited and included. AI search is subject to credit usage.

Questions

What people ask before they buy.

Does anything of ours leave the company?

No. The index is built and stored on the machine itself, and searching happens there. The only feature that sends anything out is AI search, which is optional and switched on per user.

Can someone find mail they are not allowed to see?

No. A workstation indexes what that user can already open. SearchFlow does not hold its own copy of anyone else's mailbox and does not widen access.

How long does the first index take?

The first pass depends on how much mail and how many documents you point it at; it runs in the background while you work. After that only what changed is added, which is a matter of seconds.

What does it search inside?

Mail bodies and their attachments, plus the documents in the folders you select — including PDF, Word and Excel. Results from mail and files are ranked in one list.

How is it billed?

Per user, annually: €60 per year for SearchFlow, €120 per user per year for Professional. Professional is invoiced to the company, with licences and settings managed centrally by IT.

Do we have to move to another mail program?

No. SearchFlow sits next to what you already use — you keep working in Outlook and in your own folders, and open every hit there.
